Billing: trial, pricing, payment

Billing is deliberately simple: one subscription, managed in a secure customer portal, run by your workspace admin.

The model

  • Your subscription includes your first mailbox.
  • Each additional mailbox adds a per-mailbox charge. Adding or deleting a mailbox adjusts the subscription automatically, with no forms and no calls. Exactly when the money moves depends on whether you pay monthly or yearly, which is the next section. (Note that pausing a mailbox does not reduce the count, see Manage mailboxes.)
  • You can pay monthly or yearly, and yearly saves you 20%.
  • Exact prices are shown at checkout and in the customer portal. Prices are in US dollars and exclude tax. If any tax applies to you, it is shown at checkout before you pay.

Monthly or yearly

You choose when you start your subscription:

  • Monthly. Billed every month. Cancel any time and your service runs to the end of the month you have paid for.
  • Yearly, and you save 20%. Billed once for the twelve months ahead. Twelve months on the yearly plan costs 20% less than twelve monthly payments, on the base plan and on every additional mailbox.

Exact prices for both are shown before you pay and in the customer portal. Prices are in US dollars and exclude tax; anything that applies is shown at checkout before you pay. If your business has a VAT or tax number, enter it at checkout so we apply the right treatment.

On a yearly plan, adding a mailbox is charged straight away for the rest of your year, so if you add one seven months in you pay for the five months remaining, on its own small invoice, that day. Your renewal invoice stays clean. Removing a mailbox on a yearly plan changes nothing until your renewal, when your next year is billed at the lower number.

Changed your mind about a yearly plan? You can ask for a full refund within 30 days of the charge.

The 7-day free trial

Your trial starts when you complete checkout at sign-up. Card details are collected up front, but you’re not charged during the trial — service simply continues automatically when it ends. A few days before that, the workspace admin gets a reminder email (“Your InboxAgent trial ends soon”). Nothing is feature-limited during the trial.

Managing billing

Admins: Account → Billing → Manage billing opens the secure customer portal in a new tab, so the app stays where you left it. In the portal you can update the payment method and billing details and see your invoice history. (Members don’t have a billing surface — ask your admin.)

If a payment fails

Your card provider declining a renewal doesn’t kill anything permanently, but it does pause the workspace:

  • Everyone sees a “workspace paused” notice instead of the app — admins get an “Update payment” button straight into the portal.
  • Email processing stops while paused — mail received during suspension is not triaged, so fixing it promptly matters.
  • Once the card is updated and the payment retries successfully, the workspace reactivates automatically — no support ticket needed.

If payment stays failing through all retries, the subscription ends and the workspace closes — at that point contact support.

Refunds

We bill in advance and we do not refund the period you have already paid for. If you cancel, nothing else is charged and your service runs to the end of that period. If you remove a mailbox partway through, the change shows up at your next renewal rather than as money back.

There are two things we do refund. If we materially break our agreement with you and do not put it right within 30 days of you telling us, you can end your subscription and we pay back the unused part. And if we stop providing InboxAgent, or close your account for a reason that is not a breach of our terms, we pay back the unused part.

Some countries give you rights that an agreement cannot take away, and nothing in our policy limits those. The full wording is in our Terms of Service.
