Connect a Gmail mailbox

InboxAgent can read a Gmail mailbox. Connecting takes a minute: you sign in with Google and approve read-only access to your mail.

Before you start

  • Gmail connections are personal accounts only. Gmail has no shared-mailbox mode in InboxAgent, and the “Shared mailbox” option doesn’t apply. A Google Workspace group address can’t be connected directly, so connect the account that receives the mail.
  • You need to be a workspace admin.

Connect it

  1. Go to Settings → Integrations and click Add mailbox. Enter the address and a display name, and choose Gmail as the provider. Your first mailbox is included in your base plan; each additional mailbox adds a per-mailbox charge. See Billing for when that is charged on monthly and yearly plans.
  2. Click Connect on the new row and sign in as that exact Google account.
  3. Approve the requested access. InboxAgent asks for read-only Gmail access, so it can read messages and never send, modify, label, or delete them. Tick every checkbox on the Google consent screen — Google lets you untick individual permissions, and the one that matters most is “View your email messages and settings”. If a required permission is missed, InboxAgent checks what was actually granted the moment you land back, refuses to show the mailbox as Connected, and tells you exactly which permission was missing. Just click Connect again and tick everything.
  4. Back in InboxAgent, the row shows Connected. Click Test to confirm.

If you later delete this mailbox from InboxAgent, we ask Google to revoke InboxAgent’s access at the same time. That request can fail without stopping the delete, so it is worth checking your Google account settings, where you can remove our access yourself.

One Gmail-specific thing to know

Mail must be unread and in the Inbox. InboxAgent picks up Gmail messages that are still unread and sitting in the Inbox when it checks (about once a minute). If a teammate opens an email first, or a Gmail filter archives it or marks it read on arrival, InboxAgent won’t ingest it. If some mail seems to be “missed”, check for filters that skip the Inbox, and agree with your team that this inbox is InboxAgent’s to read first. There are no labels or filters you need to create, because none are used.
