Manage mailboxes: test, edit, pause, delete

Everything here happens on Settings → Integrations, in the Connected mailboxes card. All of these actions are admin-only — members and viewers see the list read-only.

Test

Test checks that InboxAgent can actually reach the mailbox right now — it performs a real (tiny) fetch and shows Connected or Failed for a few seconds. Use it right after connecting, or when you suspect a connection problem. It’s meaningful on a mailbox that shows Connected; on one that was never connected, click Connect first.

Edit

Edit on a row lets you change:

  • Display name — the friendly label shown across InboxAgent. Change it any time.
  • Category — your own grouping label (Sales, Support, Info…). It’s for organizing; it doesn’t change how mail is classified.
  • Enabled — untick to pause processing for this mailbox. The row shows Inactive and InboxAgent stops checking it until you re-enable. Pausing does not reduce your bill — the mailbox still counts toward your subscription; only deleting changes it.
  • Shared mailbox (Microsoft only) — see Personal vs shared mailboxes. Set this correctly before connecting; avoid flipping it on an already-connected mailbox.

The email address itself can’t be edited. To fix a typo or move to a different address, delete the mailbox and add it again.

Manage (per-mailbox overrides)

Manage opens the mailbox’s own page, where you can add rules that apply to this mailbox only — see Per-mailbox overrides.

Delete

Delete permanently removes the mailbox connection (with a confirmation). Your subscription’s per-mailbox count adjusts down automatically. On a monthly plan that is prorated; on a yearly plan it takes effect at your renewal (see Billing). Already-processed emails remain in your history.

If you delete a mailbox and later add the same address again, it starts fresh. The new connection honours whatever you pick for History to import, including None, start from now. It does not quietly resume from wherever the deleted one had got to.

Deleting a Gmail mailbox also asks Google to revoke InboxAgent’s access. That request can fail without stopping the delete, so it is worth checking your Google account settings, where you can remove our access yourself. For Microsoft 365, you can remove InboxAgent’s access in your admin console.

Adding more mailboxes

Add mailbox works the same as your first one. Two things worth knowing:

  • Billing: your first mailbox is included in the base plan; each additional mailbox adds a per-mailbox charge. When it is charged depends on your plan, see Billing.
  • One address, one organization: an address already connected by a different organization is refused with “This mailbox address is already connected by another organization. If you believe this is a mistake, contact support.” — that’s a safety guard, not a glitch.
