Connect Zoho CRM

Last updated 3 July 2026

Connect Zoho CRM and sales inquiries stop being emails someone must remember to copy over — InboxAgent creates and updates the CRM records itself.

Connect it

  1. Go to Settings → Integrations and find the Zoho CRM card (admins only).
  2. Click Connect — you’ll be taken to Zoho to sign in and approve access. Use a Zoho account with rights to create leads.
  3. Back in InboxAgent the card shows Connected, with the connected account and organization ID. Click Test any time for a live check.

Disconnect removes InboxAgent’s access token on our side. To fully revoke the grant, also remove InboxAgent under your Zoho account’s Connected Apps.

What InboxAgent creates in Zoho CRM

When an email gets a Create a lead decision (automatically, from Manual review, or via Re-classify), InboxAgent checks before it creates — in this order:

  1. Same conversation already linked to a CRM record? → a note is added to that record. No new lead.
  2. Sender matches an existing CRM Lead? → the lead is updated and a note added.
  3. Sender matches an existing CRM Contact? → a note on the contact. No new lead — your existing customer isn’t re-created as a lead.
  4. Genuinely new? → a new Lead is created: name from the sender, company derived from their email domain, the email address, a description with the subject and an excerpt, and Lead Source “IA-Email” so you can report on InboxAgent-sourced pipeline.

Every touch also writes a structured note with the email’s details (from, subject, received time, classification, a summary) — the audit trail inside your CRM.

Because of steps 1–3, a “Lead Created” action in your logs can mean “updated or annotated the existing record” — by design, so a chatty prospect never becomes five duplicate leads.

If something can’t reach Zoho

Failures are loud: the push is recorded with its error on the email’s detail and in System logs; actual Zoho-side errors appear under Delivery failures; and the “lead or ticket can’t reach your CRM” alert fires. If the connection expires, the bell shows an integration alert — reconnect by clicking Connect again. To push an individual email after fixing things, use Re-classify — it’s duplicate-safe.
