Invite your team (roles: Admin, Member, Viewer)

Bring colleagues into your workspace from Settings → Team (admins only). Each person gets a role that governs what they can see and do.

Invite someone

  1. Enter their email, pick a role, and click Send invitation.
  2. They receive an email with an “Accept your invitation” link — it’s valid for 7 days and asks them only to set a password. They land signed-in and ready.
  3. Until they accept, they show as Invited in the members list (and can’t sign in yet).

Invitations are never silent: if the email fails to send you’ll see a warning with a Resend button immediately. To re-send later (or change the role of a not-yet-accepted invite), submit the same address again from the invite form — it re-issues the link with the role you picked.

The three roles

  • Admin — everything: mailboxes and integrations, rules, routing, notifications, senders, team, billing, and closing the account. Admins always see all mailboxes.
  • Member — the day-to-day operator: resolve Manual review items, re-classify and reprocess emails, run Test the AI, and work Failed messages. Settings screens are off-limits — a member can look at Integrations but not change connections.
  • Viewer — read-only: Dashboard, Inbox activity, Manual review, System logs, and Integrations, with every action button hidden or disabled.

Give Admin sparingly, Member to whoever works the queue, Viewer to anyone who just needs visibility.

One honest limit in the current version: an active member’s role can’t be changed afterwards (only a pending invitation’s can, by re-inviting). Choose roles deliberately at invite time; if you need a change urgently, contact support.

Suspending someone

When someone leaves, or you need to cut off access quickly, click Suspend on their row. They are signed out and can’t sign in again until you reactivate them.

What suspending does not do, and this matters:

  • It doesn’t delete anything. Their history stays exactly where it is, so questions like “who resolved this?” and “who approved this rule?” still have an answer. That is why there is no Remove button: removing a person would either orphan those records or take them with it.
  • It doesn’t stop their mailboxes. A mailbox keeps running whoever connected it, because the connection belongs to your workspace, not to the person who clicked Connect. If their provider account is later closed by your own IT, the connection fails normally and you get the usual mailbox disconnected alert.

Two things you can’t do, both on purpose: you can’t suspend yourself, and you can’t suspend the last active admin — otherwise the workspace would have nobody who could manage it. Make someone else an admin first.

One caveat, stated plainly: signing them out takes effect within about an hour. Their existing session can’t be renewed the moment you suspend them, but a session already in progress can run to the end of its hour. If you need someone out immediately and cannot wait, contact support.

Reactivating puts them back where they were. If you suspended someone who had never accepted their invitation, they go back to Invited rather than active, so you can re-send the invite.

If what you actually need is a person’s data erased rather than their access removed, that is a different request with its own process — contact support.

Mailbox access (members and viewers)

By default, everyone sees all mailboxes. Click Manage access on a member or viewer’s row and you get a straight choice:

  • All mailboxes, including any added later — the default. They see every mailbox you have now, and anything you connect in future appears for them automatically.
  • Only the mailboxes I select — tick the ones they should have. Their Inbox activity, review queue, logs, and notifications all narrow to match.

Two things worth knowing about the second option. Picking it with nothing ticked is allowed, and it means exactly what it says: that person sees no mail at all. They can still sign in. It is there so you can add someone to the team before you have decided which mailboxes they get, and the summary on their row reads No mailboxes so it is never a surprise.

And once someone is on Only the mailboxes I select, a newly connected mailbox is not automatically theirs — you have to come back and tick it. Their row shows a count like 2 of 3 mailboxes, so a mailbox they are missing shows up as a moving denominator.

Admins always see everything, so there’s no Manage access on admin rows.
