What InboxAgent does
InboxAgent watches the shared mailboxes your business runs on — like info@, sales@, or
support@ — reads each new email, and sorts out what it is and what should happen to it. Instead
of someone triaging that inbox by hand, the routine work happens automatically and only the emails
that genuinely need a person reach one.
The loop, end to end
- You connect a mailbox — Microsoft 365, Gmail, or Zoho Mail. InboxAgent only ever reads mail: it never sends, replies, moves, labels, or deletes anything in your mailbox.
- Each new email is classified. Obvious noise (newsletters, auto-replies, your own team’s internal mail if you’ve chosen that) is filtered out first, without using AI. Everything else is read by the AI, which assigns a category — for example Sales, Support, Invoice / Billing, or Spam — and a confidence score.
- A decision is made. Based on the category, your rules, and how confident InboxAgent is,
each email gets one of four outcomes:
- Create a lead — a sales inquiry goes onto your Leads board, and to your CRM as well if you have connected one (Zoho CRM or HubSpot).
- Create a ticket — a service request goes onto your Follow-ups board, and to your helpdesk as well if you have connected one (Zoho Desk or HubSpot).
- Send to review — anything uncertain lands in Manual review for a person to decide.
- Ignore — noise is recorded and skipped, so you can still see it was handled.
- You stay in control. You choose how bold InboxAgent should be (routing modes), set plain-language rules for the cases you always want handled a certain way, and correct anything it gets wrong — corrections teach it over time.
- Nothing sits unowned. Every lead and every follow-up has an owner and a state, so you can always see who is dealing with what. That is the whole promise: every email is a lead, a follow-up, or noise.
- You’re kept informed. Alerts tell you when a lead is detected, a service request comes in, something needs review, or a connection breaks.
What it works with today
- Mailboxes: Microsoft 365, Gmail, and Zoho Mail. Most other business mailboxes can be connected with a username and password (IMAP).
- Where the work lands: in InboxAgent itself, on the Leads and Follow-ups boards. You do not need to connect anything for those to work.
- Where it can also go: Zoho CRM, Zoho Desk, and HubSpot. One HubSpot connection covers both sides (contacts and tickets, plus deals if you allow them) and works on every HubSpot plan, including Free. If you connect one, work goes to BOTH: your CRM or helpdesk as before, and the board. Connecting later changes nothing about the boards. See what if you do not connect one.
What it deliberately doesn’t do
- It never replies to your customers or sends email on your behalf from your mailbox.
- It never changes anything inside the mailbox — the original email stays exactly where it was.
- It doesn’t act when it isn’t sure. Uncertain email goes to a person, not into a guess.
