Senders: customers, prospects, priority, blocked

Last updated 23 August 2026

The Senders screen is one global list of who matters: mark an email address as a Customer, Prospect, or Blocked, and independently flag it as a Priority customer. Labels apply across all your mailboxes. Reach it from Settings → Integrations → Senders (admins can edit; everyone can view).

The labels

  • Relationship — one of None, Customer, Prospect, or Blocked.
  • Priority customer — a separate flag you can add to any sender.

Each sender shows one relationship chip (if a sender ever carries conflicting data, the most important one wins: Blocked, then Customer, then Prospect) plus a Priority chip when flagged.

What the labels actually do — read this part

Blocked is an action. Marking a sender Blocked stops their mail: every email from that address is ignored automatically, before InboxAgent classifies it. No rule is needed. (The “is blocked” condition is still available in the rule builder if you want to combine it with other conditions.)

The other labels are signals, not actions. Customer, Prospect, and Priority take effect two ways:

  1. Rules. They power the sender conditions in the rule builder, like “is a known customer” or “is a priority customer”. Only Priority has a built-in rule out of the box: the suggested rule “Priority customers always go to review”, on by default.
  2. AI context. The AI sees these labels when classifying (“this sender is a customer”), which nudges its judgment but never dictates it.

Blocking applies to the exact address, and only that address. Blocking spam@supplier.com does not affect anyone else at supplier.com, so you can block one person at a company you otherwise want to hear from. To block several people, add each address.

The other labels work differently on purpose. If we have not seen an address before but we do know someone else at that company, we use their relationship as a hint (so a new person at a customer company is treated as coming from a customer). That is a hint to help the AI judge, and it never silently hides mail. Blocking does hide mail, so it never works by hint.

Two lists: yours and InboxAgent’s

  • Senders — addresses you added by hand. Use the form at the top: email, relationship, Priority flag, Add.
  • Detected automatically from your mail — senders InboxAgent has learned from processing your email (see How InboxAgent learns). Edit one to confirm or correct its labels — editing moves it into your manual list. Remove clears a sender’s labels and its learned history, so prefer Edit over Remove unless you truly want a clean slate.

Timing note

Labels fan out to your currently connected mailboxes. If you connect a new mailbox later, re-save any senders that matter (open → Edit → Save) so the labels cover the new mailbox too.
