Quick start: from sign-up to your first triaged email

Setting up a mailbox takes about ten minutes, and classification starts within about fifteen minutes of connecting it. Most businesses are working from the boards inside an hour. Here is the whole journey.

1. Create your workspace

On the sign-up page, enter your company name (your workspace URL is suggested automatically), your name, email, and a password, and accept the legal terms. You’ll get a verification email — worth doing, but it doesn’t block you from working.

2. Start your subscription

Right after sign-up you’ll see “Start your subscription”. This takes you to our payment provider to enter card details securely. You won’t be charged during your 7-day free trial — the card is collected now so your service continues automatically when the trial ends. A few days before it ends you’ll get a reminder email. If you have a promo code, there’s a field for it on the checkout page.

Once payment details are in, your workspace unlocks and you land on the Dashboard.

3. Connect your first mailbox

The welcome card on the Dashboard walks you through it, or go to Settings → Integrations:

After connecting, InboxAgent imports the history you chose on the Add-mailbox form (the default is the last 7 days, up to 200 messages; you can also choose none) and then checks for new mail about once a minute — see What happens after you connect.

4. Let the defaults work

A new workspace starts with sensible defaults, so there’s nothing you must configure:

  • Routing is set to Balanced — clear-cut email is handled automatically; anything uncertain comes to you in Manual review. You can change this any time under Routing modes.
  • Three suggested rules are on: newsletters and marketing are ignored, mail from your own team’s domain is ignored, and priority customers always go to review — see The three suggested rules.
  • Five alerts are on, emailed to you and shown in the app: new lead, support request, needs review, mailbox disconnected, and integration failure — see Alerts.

5. Optional: connect your CRM and helpdesk

You do not need to. Sales inquiries already land on your Leads board and everything else that needs a person lands on Follow-ups, each with an owner.

Connect one and the work goes to BOTH. When you are ready for that, go to Settings → Integrations and connect either:

  • HubSpot — one connection covers both leads and tickets, on any plan including Free.
  • Zoho CRM and Zoho Desk — connect one or both.
