Close your account
Closing your account is deliberate and final — here’s exactly what happens, so there are no surprises.
What closing does
- Email processing stops immediately. InboxAgent stops reading every connected mailbox.
- Everyone is locked out. The workspace shows a closure notice instead of the app.
- Your data is scheduled for permanent deletion after the retention window described in our Data Deletion Policy. This cannot be undone once the deletion runs. When that final deletion runs, we also delete the access tokens we stored and ask Google to revoke InboxAgent’s access. That request can fail without stopping the deletion, so it is worth checking your Google account settings, where you can remove our access yourself.
- Billing winds down. The subscription is set to end at the close of the current billing period, and you are not charged again after that. The period you have already paid for is not refunded. See Billing for the full refund position.
Nothing changes inside your actual mailboxes or the systems you connected — InboxAgent only ever read your mail, and records already created in your CRM or helpdesk stay where they are.
How to close (admins only)
- Go to Account and scroll to the Danger zone.
- Tick the acknowledgment — “I understand processing stops immediately and my data will be permanently deleted after the scheduled window.”
- Type CLOSE-ACCOUNT in the confirmation field and click Close account.
Members and viewers don’t have this section — the Account page points them to their admin.
If we close your account
We also close accounts that are finished, so we are not holding your details with no reason to. There are three cases, all set out in the Data Deletion Policy:
- You registered but never subscribed, and 30 days have passed. Nothing was ever connected or read for that workspace, so the retention window here is 30 days rather than 90.
- Your subscription ended more than 90 days ago and has not been restarted.
- Breach, legal or security reasons, as set out in the Terms.
We email every admin on the account when we close it, and the email states the date the data will be deleted. Nothing is deleted before then, so if you want the account reopened or a copy of your data, reply to that email and we will sort it out.
Before you close
- Export anything you want to keep: Usage and System logs both have CSV export.
- If the problem is cost or a rough edge rather than a goodbye — talk to us first. Real feedback shapes what we build, and there may be a simpler fix.
- Changed your mind right after closing? Contact support immediately — before the deletion window completes there may still be an operator-level path; after it, there isn’t.
