The three suggested rules

Last updated 3 July 2026

Settings → Rules (admins only) opens with three one-tap rules covering the most common cases. New workspaces start with all three on — most teams never need more.

”Ignore newsletters & marketing”

Mass marketing and newsletter mail is skipped instead of becoming leads or tickets. (Much of this is already caught by the built-in bulk-mail filters even before rules run; the toggle makes the policy explicit for anything the AI classifies as Marketing.)

”Ignore emails from your own team’s domains”

Internal email between your own staff is skipped, so colleague@yourcompany.com asking about lunch never becomes a lead. When this toggle is on, it expands to show the domain list — it starts with the domain from your sign-up email, and you should add every domain your team sends from (subsidiaries, secondary brands).

Two things worth knowing:

  • Forwarded inquiries still get through. If someone internal forwards a real customer email into a monitored inbox, InboxAgent detects the actual prospect inside and processes it as them — the toggle doesn’t swallow forwarded leads. When it can’t tell, the email goes to review.
  • Turning the toggle off treats your own team’s mail like any other email.

”Priority customers always go to review”

Email from any sender you’ve marked Priority on the Senders screen is never auto-ignored — it always lands in Manual review for a person. This is the safety net for your most important relationships; it’s also the only built-in behavior a sender label has, so keep it on if Priority matters to you.

How the toggles behave

  • Switching a toggle on creates the rule; switching it off deletes it. Nothing is lost — switching back on recreates it fresh — but if you’d edited the rule’s details, those edits go with it.
  • Behind each toggle is an ordinary rule: the toggles are convenience, not magic.
  • Suggested rules apply across all your mailboxes, like any global rule.
